Hermosa for the Holidays - Vendor Booth Website

Thank you for participating in the 3rd Annual Hermosa for the Holidays for the weekend of November 18 - 19.  We combined two old traditional events into one weekend and this year adding a new component - small street closure on Hermosa Ave. for Sunday ONLY.  If you would like to see more info all of the fun visit www.hbchamber.net/holidays.

On this webpage you will find important information you need to know from now until the day of the event. In order for the event to run smoothly, we ask that you review this carefully and address any questions or problems ahead of time with Kim Ruggles at Kim@KimRugglesEvents.com or (310) 529-4258.

Current news/updates

  • 7x7 vendors may not setup a 10x10 popup tent in their space.  They can use an umbrella up to 7 foot diameter or a 7x7 popup tent.
  • Rain Plan for Pier Ave. and Pier Plaza on Saturday
    • If it’s raining in Hermosa Beach (weather app will tell you) at 7am, then we will delay setup and shopping until 12pm. That means you can start setting up at 10am. 
    • If it’s clear weather at 7am, then we will set up as planned starting as early as 8am.

Saturday, November 18

  • 6:00am - Rental Equipment install begins on Pier Plaza
  • 8-10am - Pier Ave. Artisan Popup Vendors arrive for set-up
  • 10:00am - Pier Ave. Artisan Popup, Letters to Santa, Storytime Tent & Pier Plaza Carnival Ride & Games open
  • 12:00pm - Audio/visual equipment start installation on Pier Plaza for main stage
  • 4:00pm - Pier Ave. Artisan Popup Vendors & Pier Plaza Activations close and tear down for the night, Letters to Santa, Storytime Tent close
  • 6-9:00pm - Rock for Tots Concert
  • 9:00pm - Carnival Rides close

Sunday, November 19

  • 5:00am - Hermosa Ave. Street Closure begins
  • 6-10am - Hermosa Ave. inflatable carnival rides and generator install
  • 7-10am - Hermosa Ave. Artisan Popup Vendors arrive for set-up
  • 8-10am - Pier Ave. Artisan Popup Vendors arrive for set-up
  • 9:15am - ALL cars off site
  • 10:00am - ALL Artisan Popup Vendors, Workshops, Pics with Santa begin, ALL Carnival Rides open
  • 12:00pm - Audio/visual equipment start installation on Pier Plaza for main stage

Getting to the Event

There are three areas of downtown Hermosa Beach that will have activities, below have hyperlinks to each location:

  • Pier Plaza  - Pier Plaza Carnival Ride & Games, Giving Village, Main Stage, Letters to Santa & Pics with Santa
  • Hermosa Ave. -  Hermosa Ave. Local Artisan Popup, Hermosa Ave. Inflatable Carnival Rides (street closure on Sunday only)
  • Pier Ave. - Pier Ave. Local Artisan Popup, Workshops & Storytime Tent

For Pier Plaza and Pier Ave., review the site layout below for your placement.  Your booth space will be marked with sidewalk chalk on the cement. Pier Ave. event staff will be roaming up and down Pier Ave. to provide support and help.

Vendor Parking:  Unfortunately, the Chamber is not able to secure complimentary parking for the vendors. Here is the Hermosa Beach Parking Lot website to the public parking lots in Hermosa to help you find a spot.  PRO TIP:  park at the Community Center up at 710 Pier Ave as it's free.

PIER AVE Artisan Pop-up & Brand Activations (SAT & SUN)

What We Provide

Load-In Pier Ave

  • Where to unload:  Since you are on Pier Ave. and at this time of morning you should be able to park your car near your booth space.
  • Finding booth location:  Please review the site layout on this webpage for your location.  There will also be sidewalk chalk on the cement marking your booth space.
  • Bring Your Dollies.   They are VERY helpful to move heavy items for a distance.

 

Venue Restrictions

  • You will be located on the sidewalk, make sure you leave a path for a double wide baby stroller to pass under/through your setup.  We cannot impede foot traffic on the sidewalk.
  • Tying decorations on to plants, trees or structure is not permitted. All decorations must be on the table, attached to your tent or free standing.
  • NO balloons, NO single use plastic bags
PIER PLAZA Brand Activations (SAT & SUN) and Giving Village (SUN)

What We Provide

  • 10’x10’ space on Pier Plaza for your tent and decor
  • Electricity: There is limited electricity, please notify us by November 10th if you require electricity for your table & especially if you think your amp # will exceed normal usage (more than 3-5 amps).

What You Need to Bring

  • Tent, tables, chairs
  • Decor and supplies for the experience
  • We have VERY limited power.  Battery powered lights for the evening portion of the event (work light for brightness or string lights for ambiance) should do well 
  • If you requested electricity, bring extension cords

Load-In Pier Plaza

  • Volunteer Help: A limited number of volunteers will be available to help make the load-in process as smooth and efficient as possible. Please bring your own staff to help carry equipment and set up your booth.
  • Where to unload:  There are two areas that are great for unloading; Hermosa Ave. in the unloading section by Bank of America OR on 13th Ct. behind Tower 12.  From these points you can dolley your items to your booth space.
  • Finding booth location:  Please review the site layout on this webpage for your location.  There will also be sidewalk chalk on the cement marking where your tent legs go.   
  • Bring Your Dollies.   They are VERY helpful to move heavy items for a distance.

Venue Restrictions

  • Please keep you tent legs within the parameters drawn on the cement, there is a fire lane we cannot infringe upon which is why we will mark where you tent legs go.
  • Tying decorations on to plants, trees or structure is not permitted. All decorations must be on the table, attached to your tent or free standing.
  • NO balloons, NO single use plastic bags
HERMOSA AVE Artisan Pop-up & Brand Activations (SUN ONLY)

What We Provide

  • 10x10 space on the street for your booth and goods

 

What You Need to Bring

  • Pop-up Tents

  • AND your fantastic products

Load-In Hermosa Ave (Artisans & Brand Activations)

  • IMPORTANT NOTE: we will have one-way traffic for load in and tear down.  All vendors must enter from the interesection of Pier Ave. & Hermosa Ave. and travel north.  After unloading you travel north towards 14th St. to exit.
  • Volunteer Help: A limited number of volunteers will be available to help, please bring your own staff to help carry equipment and set up your booth.
  • Where to unload: When unloading, please put your articles in your booth space, not in the street or on the sidewalk.  Once you have unloaded the vehicle, you must move the vehicle to parking (parking info below) and then setup your booth.  Please adhere to these rules, in order to avoid long lines of backed-up trucks, vans and cars waiting to unload at their booth space.  All vehicles must be removed from the venue by 9:15 am, if you arrive after 9:15am you will need to hand truck your goods into the event space from the perimeter of of the event space.

During the Event

Preparing for the Event

In a sea of booths, it’s important to find a way to stand out.  Your booth display is the first impression to shoppers AND they decide within seconds if they want to shop.  An alluring booth is the goal, so how are you going to make a display that stops them in their tracks?  Follow the below tips:

Branding/Booth Aesthetics.  Even a simple table setup, with great product branding and signage can work.

Give it that Personal Touch. Create a booth that’s like a brick and mortar shop. Use furniture, displays, accessories, props, backdrops, decorations and more.

No Clutter.  Racks of overflowing product is not a draw to shoppers. They may keep on walking rather than traversing through all of the racks of product.

Creative Use of Space. Put tables on risers, utilize walls with plywood, shelves, and other items to creatively use your entire space.  Keep in mind the eyes like to wander so putting product at varying levels is a good thing.

Practice the Setup.  Setup the booth and take photos so you are not still setting up the booth when attendees arrive.  Plus practice makes perfect, you’ll be able to work out the kinks with a pre-event setup.

Consider the Weather. We are near the beach, therefore there could be some wind.  Make sure to bring weights, so nothing gets blown away.   Additionally, you will be located on a sidewalk, walk street or the street, this area tends to get hot on sunny days. We highly recommend dressing in layers as we have had 80 degree weather in November. Don’t forget the sunscreen.

Network. Bring business cards and talk to your neighbors.  You never know if the company 2 doors down could collaborate with you to make an amazing product or help grow your company.

Cellular Serivce.  Hermosa Beach has decent cellular & limited Wi-Fi access. Should you try to access the internet with a tablet or Smartphone you may have difficulty. Please come with a back-up plan when communicating via phone & to capture contact information.

Hours of Operation.  It is expected each booth space will be maintained for all hours of the event, please make certain there is someone at the booth at all times to welcome attendees.

Information: Staff/volunteers will be floating throughout the venue to cater to any issues or questions you may have.

 

Breakdown

  • When the event ends, and attendees are clear of the area we will do our best to allow cars to enter for loading.  
  • Bring Your Dollies.   At the end of the day,  dollies are VERY helpful to move heavy items for a distance.  Cars will not be allowed to drive into the event space until all guests leave.
  • Take your time to make sure that you do not forget anything, break anything, or injure yourself during tear down. We are not responsible for items left behind.
  • All vendors are responsible for ensuring that all trash is removed from table space, and boxes are broken down.
  • Please put your trash in containers nearest your table.  DO NOT LEAVE TRASH for event staff and volunteers to handle.

 

Load Out

  • We will use the same areas as load-in. Event staff and volunteers will be available to help direct and load cars quickly & safely.
  • Before departing, do one last spot check to make certain nothing was forgotten. Hermosa Beach Chamber is not responsible for lost/left items.
